What is covered in this article?
Overview
It is important to understand how the funnel metrics for cohort years are comparing over time. For example, it would be ideal to see how different stages of your funnel for the next school year compare to the current year level etc.
The Funnel Metrics by Starting Year is designed to address this in a simple manner.
Instead of displaying the data as a traditional Funnel Chart from top to bottom, we have turned it on its side so you can easily compare totals for each stage of the funnel from year to year. You can compare the trends for the totals across each stage - including Declined.
Chart Features
This chart defaults to display a chart with a table below. The table can easily be toggled off under the context menu on the top right. While the chart display the total numbers that have gone through each stage, the table display the conversion from one to the next
Filter
Use the main filter to set the values for:
- Starting Year
- The Intake Year/Grade Level
- To compare data up until the same time for the prior years
Reset Button
The reset button will return the filet to the default state, which is:
- Starting Year are the current school year + the prior 2 and the following 2, but only of data exists
- All Intake Year/Grade Levels are effectively selected
- Same time for prior years only is OFF
Chart Buttons
Two button and a context menu are available for this chart.
Copy Chart
Clicking Copy Chart will copy the image of the chart and table to the clipboard. You can then paste it into a different document such as a presentation
Chart Type
Use the chart selector to change between two different chart types:
- Column Chart (this is the default)
- Line Chart
Context Menu
The context menu allows you to Aggregate charts, show and hide the table below the chart, download to several different formats and print.
The Funnel Chart
The Chart is plotting the following information based on the filters that have been set
- Interest represents the total number of inquiries that have come in independent of what their initial status was
- Applicant represents the total number of inquiries that have passed through the Applicant stage.
- Enrolled represents the total number of students that are in the Enrolled stage
- Declined represents the total number of students that are in the Declines stage
Tip: It does not matter what the status of the student is when they are entered. They will always be counted in the Interest stage. Also, if a new student is entered and is immediately set to a status in the Enrolled Stage they will also be counted as passing through the other stages. This is designed to keep your funnel metrics accurate. |
The Table
When the table is displayed it will include the following rows:
- Total represents the total number of inquiries. This number will match the total number of inquiries
- Applicant is the percentage of students that have passed through the Applicant Stage compared with the the total number of inquiries. Great for determining your conversion rate.
- The Enrolled is effectively your yield, that is the percentage of students have enrolled compared with those in the Applicant phase.
- Lastly, The E/E or I/E ratio is the ratio of inquiries/Inquiries to Enrolled - a good benchmark to keep track of when comparing annual data metrics.
Tip: In order for these metrics to be useful, you must be sure your data is clean. Remember to reduce the number of duplicates and be sure that any Status in the Enrolled Stage really means a student will be starting at your school in that year level. |
Compare Starting Year
When this is enabled, the default academic year will be the next school year. Now you can easily compare the metrics for a future academic year to that of a year in the past. Easiest way to see if your numbers are on track - does not matter how far out you go!
Enable this feature via Admin > Dashboard Configuration
On the Funnel Metrics by Starting Year Dashboard, select the checkbox to enable the same time prior year to compare
- Choose the Academic Starting Year to select a year to compare such as 2024

A new row will appear displaying the count for the same time based on the year being compared
For example, if today's date is Aug 13, 2022 and you want to compare how your inquiries are tracking for year 2024. Then numbers for all prior years will update accordingly based on 2 years prior since you are comparing the numbers for 2 years out.
